The Honolulu Authority for Rapid Transportation (HART), a semi-autonomous agency of the City and County of Honolulu, is responsible for the design and construction of Hawaii’s largest infrastructure project and the nation’s first fully-automated rail transit system. Considerable work is in progress to extend the system past the Daniel K. Inouye International Airport and into downtown Honolulu, representing an 18.9-mile fixed-guideway rail system with 19 stations. It is an exciting time to be at HART, as the first segment of the rail system is open to the public.
These positions perform secretarial services as a primary work assignment, along with administrative, clerical, and other related services. The authorized level of the position is a Secretary III. Applications are being accepted descending to the Secretary I in the event of recruiting difficulties.
Duties and Responsibilities
Compose and prepare routine correspondence, reports, presentations, statistical, or monthly reports from written or oral instructions, using word processing, spreadsheet, database, or presentation software.
- Performs full range of word processing tasks to store, retrieve, modify, format and revise letters, memoranda, reports, documents and other materials.
- Answers telephone and gives information to callers, take messages, or transfers call to appropriate individuals.
- Schedules appointments; makes confidential contacts; arranges date and place for meetings and notifies members who are to attend.
- Sets up, maintains and revises files, as necessary, including computer stored as well as hard copy files.
- Installs and develops appropriate glossaries or macro shells for preparation of recurring documents and reports, as required.
Minimum Qualification Requirements for the Class:
Training and Experience: A combination of education and experience substantially equivalent to graduation from high school, and
Grade I: two years of secretarial, stenographic or substantive clerical experience.
Grade II: three years of secretarial, stenographic or substantive clerical experience.
Grade III: four years of secretarial, stenographic or substantive clerical experience.
License Requirement: Possession of an appropriate valid driver’s license, as required.
Knowledge of: office practices and procedures; basic principles and capabilities of word processors and microcomputers, as required; filing methods and systems; grammar, spelling and word usage; use of standard office equipment; principles and practices of supervision, as required.
Ability to: transcribe notes accurately, as required; type and/or key/input information accurately; understand and effectively use word processing and other software applications; understand and interpret laws, ordinances, rules and regulations; summarize and brief materials; give and follow oral and written instructions; deal tactfully and effectively with employees and the public; work harmoniously with others.

Schedule and Location
- The work of this position is conducted in the HART offices in Honolulu, Hawaii (no telecommuting allowed) during typical 8-hour shifts. HART does not cover any relocations costs.
