The Honolulu Authority for Rapid Transportation (HART) is the public transit authority responsible for planning and constructing Skyline, Honolulu’s rail transit system. It is the first fully automated, driverless urban light metro system in the United States and represents the largest public infrastructure project in the history of Hawaii.
Skyline’s route is approximately 19 miles, with 19 stations, along Oahu’s southern coast, and it is being constructed in three segments. The first segment, from East Kapolei to Aloha Stadium, is already in revenue service, with the next segments planned to extend service from Middle Street, through downtown Honolulu, to the Civic Center Station.
This position provides administrative and secretarial support to various departments within HART, including but not limited to the Director of Quality Assurance and Quality Control; Safety and Security; and Transit Property Acquisition and Relocation, for the Honolulu Authority for Rapid Transportation.
Job Duties & Responsibilities
Provide administrative assistance, maintain records and files, schedule meetings, compile information, and coordinate matters requiring attention for a team of executives. Additionally, the Secretary III utilizes the Primavera Unifier project management system to enter data, update assignments, and manage related transactions. Specific duties include but are not limited to:
- Organize and coordinate matters that require executive attention for the Quality Assurance and Quality Control, Safety and Security, and Transit Property Acquisition and Relocation departments.
- Set up, maintain and revise electronic and print filing systems in support of the organization.
- Search files and assemble background materials and information for action or direction.
- Arrange and confirm appointments; maintain schedules and calendars for the executives.
- Coordinate and schedule meetings and notify members who are to attend.
- Assemble and provide information to the public or others based upon knowledge of the office functions and the overall operations of the agency.
- Prepare correspondence and reports for management staff and review outgoing communication on behalf of the executives.
- Take and transcribe notes of meetings and conferences and prepare summary minutes.
- Perform a full range of word processing tasks to store, retrieve, modify, and format a variety of documents, including letters, memoranda, reports, spreadsheets, presentations, and other materials.
- Set up and maintain files of confidential correspondence, reports, minutes and other materials.
- Screen callers and visitors.
- Handle travel and guest arrangements.
- Answer telephone calls and route to appropriate staff or relay messages.
- Read incoming print and electronic mail and answer routine correspondence independently or distribute as appropriate. Follow up with others in the organization as needed.
- Draft letters from oral or written instructions.
- Enter data and update an assortment of projects within the Primavera Unifier project management system.
- Perform other duties as assigned.
Minimum Requirements
A combination of education and experience substantially equivalent to graduation from high school, and four years of secretarial, stenographic or substantive clerical experience.
Physical Requirement

Work Schedule and Location
- Schedule: Monday through Friday, 8-hour shifts.
- Location: Work for this position is conducted on-site at HART’s offices, located in Honolulu, Hawaii 96813. Telecommuting is not currently available for this role.
- HART does not cover relocation costs. Must be able to reliably commute or relocate by first day of employment.
Salary Range
$50,880 – $75,252 annually commensurate with experience and education.
